How to Filter, Search, and Organize Users in Filio

Filio makes it simple to assign users to one project or multiple projects at the same time. Whether you’re onboarding a new team member to a single job or rolling out access across several projects, you can do it in just a few clicks. By selecting one or multiple projects and using bulk settings, you can control user access, permissions, Data Collector subscriptions, groups, and even temporary share links, all from one place

Step-by-Step Guide to Adding Users to Multiple Projects

Step 1: Open Filio and Select Your Projects

Log into your Filio web app.
From the Projects list, select all the projects you want to assign a user or group to.
You can select multiple projects at once by clicking each checkbox.

Step 2: Click “Settings” for Bulk Actions

After selecting projects, click the Settings button at the top-right.
This opens the bulk project settings menu.
Choose:
Add Users and Groups

Step 3: Import Users from Your Directory

Click Import Users From Directory.
A list of all users in your company appears, including internal and external users.
Select one or multiple users → click Add.

Step 4: Assign Project Access Permissions

After adding users, you will see project-level access options such as:
Edit Media
Move Media
Import Media
Create Reports
User Access (view project team)
Export Media
Edit Map & Plans
Data Collector Mobile App Access
Recommended by Filio
For security reasons:
Do NOT enable “Delete Media”
Do NOT enable “Settings”
(These should only be used by Super Admins.)
Choose the permissions you want → click Save.

Step 5: Make Sure Users Have a Data Collector Subscription (If Needed)

If a selected user does not have a mobile subscription, Filio will notify you:
“X selected users don’t have Data Collector subscription.”
To continue:
Go to Users Page → Assign subscription → Return to project settings.

Step 6: Add Groups to Multiple Projects (Optional)

On the right side of the “Add Users and Groups” window, you’ll see a Groups tab.
You can:
Select existing groups
Add those groups to all selected projects
Confirm to assign all members at once

Step 7: Create a Share Link (Optional)

If you want to give access through a temporary share link:
Click Create Share Link
Add user emails or phone numbers
Choose access permissions
Set expiration time:
1 day
1 week
1 month
1 year
Unlimited
Click Send
Users will receive a secure link to access the project(s).

Tips and Warnings

Add users effectively with these tips and important notes.

  • Use bulk assignment when onboarding new teams to save time.
  • 
Assign groups to projects if you frequently add the same team across new jobs.

  • Always review allowed permissions before confirming.
  • Do NOT enable “Delete Media” or “Settings” for standard users.
  • 
Users without Data Collector subscriptions cannot access projects on mobile.

  • Share links can be forwarded — always set an expiration for safety.
