Filio Corp built the Filio app as a commercial app ("Service"). This Service is provided by Filio and is intended for use as is (see our Terms of Use). This page is used to inform website visitors regarding our policies regarding the collection, use, and disclosure of Personal Information. If you choose to use Filio, then you agree to the collection and use of information in relation with this policy. The Personal Information that we collect is used for providing and improving the Service. We will not use or share your information with anyone except as described in this Privacy Policy. The terms used in this Privacy Policy have the same meanings as in our Terms of Use, unless otherwise defined in this Privacy Policy.
Prominent Disclosure: Data Collection and Use
Filio collects, uses, and may share personal and sensitive user data (images, videos, documents, microphone recordings, location data, activity/step sensor data, and motion/orientation sensor data) strictly to enable the following features:
- Uploading and attaching images, videos, or documents to projects
- Recording audio notes or other audio-based features (microphone access)
- Providing location-based project tagging or location-related functionality
- Calibrating plan-sheet walking, step counting, direction, and AR placement features
Key Points:
- Manual User Action Only: Filio does not automatically upload or share any media files. You must explicitly tap “Upload” or “Record” before any file (photo, video, or document) is collected or stored.
- Permission-Based Access: We only access and store the specific files, audio, or location data that you choose to provide. If you do not grant permission, these features remain disabled.
- Activity and Motion Sensors: Step, motion, and orientation readings are used only while you use plan-sheet walking or AR placement tools. Raw sensor streams are processed on your device and are not used for advertising or sold to third parties.
- No Hidden Collection: We never access other files or data on your device without your explicit consent and action.
Before any data is accessed or collected, Filio displays a separate, in-app disclosure seeking your affirmative consent. If you decline, these features remain disabled, and no corresponding data is collected or stored.
Information Collection and Use
For a better experience while using our Service, we may require you to provide us with certain personally identifiable information, including but not limited to device ID and status, location, internet access, storage, microphone, camera, WiFi state, TrueDepth APIs, and mobile network state. The information that we request is retained on your device (except device ID for identification by the web app) and is not collected by us. The app does use third party services that may collect information used to identify you.
Data Retention and Deletion
Filio keeps personal information only for as long as needed to provide the Service, support your projects, comply with legal obligations, resolve disputes, prevent fraud or abuse, and maintain backups and security logs.
- Account information: retained while your account is active. If you request account deletion, we delete or de-identify account data and associated personal information unless we must keep limited records for legal, security, billing, fraud-prevention, or dispute-resolution reasons.
- Project content: photos, videos, documents, audio recordings, project metadata, location tags, and uploaded files are retained until you, your organization, or an authorized project administrator deletes them, removes your access, deletes the project, or requests deletion.
- Walking and sensor data: raw step, motion, and orientation sensor readings are processed on your device during plan-sheet walking and AR placement sessions. Filio may store only the resulting calibration values needed for the selected plan sheet, such as step count, distance, direction, and placement points. These calibration values are deleted when the related plan-sheet calibration, project data, or account data is deleted.
- Local device files: cached media, offline backups, temporary files, and synced media stored on your device can be removed from the app or device storage settings. Removing local files from the device does not always delete the cloud copy unless you also delete the cloud project/media or request deletion from Filio.
- Logs and backups: diagnostic logs are normally kept only as long as needed for troubleshooting and security. Backup copies are overwritten or deleted on a routine cycle, but may persist for a limited period after a deletion request before they are fully removed from backup systems.
To request deletion of your account or personal data, contact us at [email protected]. Please include the phone number, email address, company, or project information needed to identify your account. We will process deletion requests within a reasonable time, subject to identity verification and any records we are required or permitted to retain.
Log Data
We want to inform you that whenever you use our Service, in case of an error in the app we may collect data and information (through third party products) on your phone. This log data may include information such as your devices' Internet Protocol ("IP") address, device name, operating system version, configuration of the app when utilizing our Service, the time and date of your use of the Service, and other statistics.
Foreground Service (Android) / Background Task (iOS)
Filio may run a foreground service on Android or a background task on iOSonly while you manually start an upload or download (for example, photos, 360-videos, PDFs or other project files).
- Purpose — Keeps your user-initiated file transfers running when you switch apps or lock the screen, so progress is not lost.
- User control — Transfer begins only after you tap “Upload / Download.”
- User awareness —
• Android: A persistent notification shows file name and progress.
• iOS: The system shows the network-activity indicator and lists the task in Settings ▷ General ▷ Background App Refresh. - Stop condition — The service / task stops automatically when the transfer finishes, is cancelled, or the app is closed.
- Data handled — Only the specific media you selected. Filio never accesses other files, sensors, or personal data without your explicit action and consent.
- Security — Files are sent over HTTPS to our safe backend and stored under the safeguards described in the “Security” section below.
- Battery Optimization — On Android phones we may ask you to disable battery optimisation for Filio while an upload or download is in progress; this prevents the transfer from being interrupted. No additional data is accessed or transmitted by granting this exemption.
All Files Access (Android)
When you tap Offline Backup, Filio needs temporary read/write access to /Filio_Backup/ProjectName-ProjectID/MediaID. Granting MANAGE_EXTERNAL_STORAGE lets the app copy that entire structure in one press and sync it back to Filio Cloud when you regain a signal.
- User-initiated: permission is requested the first time you run Offline Backup.
- Scope: Filio reads or writes only inside
/Filio_Backup; no other folders are touched. - Purpose: gives crews a local, disaster-recovery copy of all project media when working offline.
- Revoke: turn the permission off anytime in Android Settings ▸ Apps ▸ Filio ▸ Permissions.
Photo & Video Permissions
On Android 13 +, Filio asks for READ_MEDIA_IMAGES and READ_MEDIA_VIDEO so it can display thumbnails and import the photos/videos you pick.
- No automatic scanning — imports start only after you press “Select files”.
- Revocable any time in Android Settings.
- No access to audio, contacts, or other personal data.
Cookies
Cookies are files with small amount of data that is commonly used as an anonymous unique identifier. These are sent to your browser from the website that you visit and are stored on your devices' internal memory. This Service does not use cookies explicitly. However, the app may use third party code and libraries that use cookies for information collection and to improve their services. You have the option to either accept or refuse these cookies and know when a cookie is being sent to your device. If you choose to refuse these cookies, you may not be able to use some portions of this Service.

We may employ third-party companies and individuals due to the following reasons:
- To facilitate our Service
- To improve our Security
- To provide the Service on our behalf
- To perform Service-related services
- To assist us in analyzing how our Service is used
- To facilitate communicating with our users
We want to inform users of this Service that these third parties may have access to your Personal Information. The reason is to perform the tasks assigned to them on our behalf. However, they are obligated not to disclose or use the information for any other purpose.
Security We value your trust in providing us your Personal Information, thus we are striving to use commercially acceptable means of protecting it. But remember that no method of transmission over the internet, or method of electronic storage is 100% secure and reliable, and we cannot guarantee its absolute security.
For example, we use TWILIO messaging service for SMS authentication and guidance to use Filio's platform (such as Google Play Store and APP store Filio's app links).
