How to Edit Users, Roles, and Permissions in Filio Introduction

Filio gives Company Super Admins full control over managing users - including updating profiles, adjusting roles, controlling project-creation rights, and managing office assignments. This guide explains every editable user setting and clarifies how the Office Super Admin role is assigned.

Step-by-Step User Editing Guide

Step 1: Open the User Editor

Open your Filio Web App, click Users in the left sidebar, and select the pencil icon beside the user 233
you want to edit.

Step 2: Edit Basic Information

You can update the following information:
First Name
Last Name
Phone Number
Email Address
Subscription Status (Data Collector App access)
Role Assignment Note (Important):
If you are a Company Super Admin, you have two ways to assign a user as an Office Super Admin:
From the User Editor:
If an Office already exists, select the desired office under the user’s profile. Assigning them to an office here automatically updates their role to Office Super Admin.
From the Offices Section:
Go to Offices, choose an office, and add the user. Their role will automatically switch to Office Super Admin.
If you are an Office Super Admin, you cannot assign this role from the User Editor.
You must assign the user to an office only from the Office section, which will automatically elevate their role.

Step 3: Change User Roles (Important Clarification)

Filio supports three primary roles:
1. Company Super Admin
Can be assigned directly in the User Editor
Has full company-wide permissions and settings access
2. Standard User
Default role
Permissions can be customized
3. Office Super Admin (Special Role)
▲ This role is not assignable directly from the User Editor.
To make a user an Office Super Admin:
Assign them to an office in the Offices section, or If you are a Company Super Admin, assign an Office to them in the User Editor Filio will automatically apply the Office Super Admin role based on office assignment.

Step 4: Set Project-Creation Permissions

For Standard Users, you can choose one of the following:
User can create projects
Both User + Company Super Admin can create projects
Only Company Super Admins can create projects
Disable project creation
This ensures the right users have the correct level of authority for initiating new projects.

Step 5: View & Unassign Projects and Groups

Inside the User Editor, you can:
View all projects assigned to the user
Unassign them from any project
View all groups they belong to
Remove them from any group
This allows you to manage access accurately across your company’s structure.

Tips and Warnings

  1. Use Offices for structured organization; assigning a user to an office automatically updates their role.
  2. Use project-creation permissions to control who can start or manage jobs.
  3. Use filters in the Users page (roles, status, offices, subscriptions) to quickly find specific users.
  1. Only Company Super Admins can edit roles and advanced permissions.
  2. Removing a user from a project immediately removes access for them in the Data Collector App.
