The Project

Filio’s field documentation story began in 2018 at the Georgia Institute of Technology’s School of Civil and Environmental Engineering. PhD researchers Mahdi Roozbahani, with a background in computational science and computer vision, and Fikret Atalay, with a background in geotechnical engineering, focused on a practical field documentation problem: jobsite photos often become separated from the location, direction, notes, and project context needed to interpret them later.

That research origin shaped Filio around a clear engineering principle: field visuals should function as organized project records, not isolated snapshots. The information that gives a photo meaning should remain connected from capture through review and reporting.

The Challenge

Construction and civil engineering teams rely on photos to document inspections, site conditions, and work in progress. Yet those images are often captured on personal phones, stored in disconnected folders, or separated from the plans they are meant to support.

When that context is lost, teams may need to reconstruct where a photo was taken, which direction the camera faced, when it was captured, and what the person in the field intended to document. The challenge is not simply taking more photos; it is keeping the right information attached to every photo.

The Solution

Filio’s field documentation workflow applies this research-led approach by combining smartphone capabilities with project plans and mapping tools. When a field photo is captured, the platform can keep several forms of context with the visual record:

  • Location: GPS coordinates identify where the photo was captured.
  • Direction: Compass data records the viewing direction.
  • Field notes: Spoken observations can be transcribed and stored with the record.
  • Plan and map context: Photos can be connected to uploaded plans and GIS maps.
  • Reporting: Organized records can be turned into clear, shareable reports.

Together, these elements preserve the context that is commonly lost when teams rely on camera rolls, filenames, and memory alone.

Implementation

Teams begin by uploading project plans to the Filio dashboard. Field personnel then use the mobile app to capture photos and add observations while they are on site. Phone sensor data supplies location and direction context, and the resulting records can be reviewed against project plans or maps.

The field documentation workflow follows a consistent sequence: capture the visual, attach the field observation, preserve its location and direction, and organize the record for later review and reporting. Documentation becomes part of the field task instead of a separate reconstruction exercise after the visit.

Results and Impact

A contextual photo record makes common review questions easier to answer: Where was this image captured? Which way was the camera facing? What condition or activity was being documented? Which plan or map location does it relate to?
