How to share a Project in Filio

In Filio, you can easily share a project with internal or external users by generating a secure share link.

Instead of creating user accounts manually, you can:

  • Send access via email or phone number

  • Control permissions (view, edit, export, etc.)

  • Set expiration dates

  • Manage and track all shared links in one place

This makes collaboration fast, flexible, and secure.

Step-by-Step Guide

Step 1 – Select the Project

Log in to Filio and go to the Projects page.

Select the project you want to share.

Make sure the correct project is selected before continuing.

Step 2 – Open Access → Share

From the left sidebar:

  • Click Access

  • Then select the Share tab at the top

On this page, you will see existing shared links (if any).
Click the + Add button in the top right corner to create a new share link.

Step 3 – Create Share Link and Add Recipients

A Create Share Link modal will open.
Inside this window:

3.1 Name the Share Link

Enter a title for your link (for example: Project Access – Client Review).

3.2 Add Recipients

You can invite users by:

  • Entering an email address and clicking + Add

  • Entering a phone number and clicking + Add

You can also import users if needed.

Step 4 – Set Permissions and Expiration

Permissions

Choose what the user can access:

  • All Access

  • Import Media

  • Export Media

  • Edit Media

  • Reports

  • Edit Map & Plans

  • Delete Media (optional – use carefully)

We recommend not enabling Delete Media unless necessary.

Expiration

Set how long the link will remain active:

  • From one day

  • Up to unlimited access

Step 5 – Send the Link

Click the yellow Send Link button.

The system will:

  • Send the link to selected recipients

  • Grant access based on your selected permissions

Step 6 – Manage and Reuse Share Links

Open Access → Share

From the project page, on the left sidebar:

  • Click Access

  • Then select the Share tab at the top

On this page, you will see existing shared links.

Click the pen button in front of each shared links to edit:

  • It will appear in the Share list

  • You can copy the link manually

  • Edit permissions anytime

  • Track expiration dates

  • Delete the link if needed

This allows you to fully control access even after sharing.

Tips and Warnings

Make the update smooth with these quick tips and notes.

  • Use descriptive names for links to stay organized

  • Set expiration dates for external users

  • Limit permissions for better data security

  • Reuse existing links instead of creating new ones

  • Use manual copy link when needed for quick sharing
