Understanding Filio Subscriptions

Learn about subscription plans, seats, management, and the typical workflow to get started with Filio.

What is a Subscription?

When your company first signs up for Filio, you begin with a 14-day free trial; full-featured with no credit card required. After the trial, you’ll need to activate paid seats to continue.
Choose from these plans:
– Monthly Plan: Pay month-to-month with flexible seat management.
– Yearly Plan: Pay upfront for 12 months at a discounted rate.
– Hybrid Plan: Combine annual seats for core staff and monthly seats for contractors.

What is a Seat?

A seat is a license that unlocks the Filio Data Collector mobile app (available on iOS & Android). With a seat, a user can:
– Capture and upload 360° photos, videos, scans, PDFs, and media.
– Work offline and sync later.
– Place and tag media directly on Plan Sheets.
– Use AI-powered features like voice captioning and auto-upload.
⚠️ Without a seat: Users can still log in on the web, but the mobile app becomes view-only (no new data collection).

Who Manages Seats?

– Company Super Admins: Allocate or revoke seats across the entire company.
– Office Super Admins: Manage seats within their specific office.
Note: An Office Super Admin also requires a seat themselves, since they use the mobile app and manage members in their office.

Seat actions are instant:

– Revoke → User immediately loses mobile capture tools.

– Reassign → Instantly restore access for another (or the same) user.

Typical Workflow

1. Start with Trial: Begin the 14-day free trial to explore features.
2. Plan Your Seats: Decide how many monthly or yearly seats you need.
3. Adjust as Needed: Shuffle seats between users as projects ramp up, avoiding payment for idle seats.
4. Handle Departures: Revoke a seat if a user leaves; their media remains in Filio, but they can’t upload more.

How to Purchase a Subscription in Filio

Follow these steps to upgrade your plan and activate seats.

Step 1: Navigate to the Subscription Section

– Go to the “Company” section in the sidebar.
– Click on “Subscription” to view your current plan.

Step 2: Upgrade Your Plan

– Click “Upgrade Your Plan” to start the purchase process.
– Select your preferred plan: Monthly, Yearly, or Hybrid.

Step 3: Enter Seat Details

– Enter the number of users (seats) you want to activate.
– Review the cost breakdown based on your chosen plan.

Step 4: Fill in Billing Details

– Provide the following information:
– First & Last Name
– Email address
– Street, City, Country, Zip code
– Select a payment method: Credit Card, Bank Transfer, or Check.

Step 5: Complete the Purchase

– Click “Pay” to process the payment (or “Request to Check Invoice” for manual review).
– Subscription activates immediately after payment confirmation.

  • Review the invoice preview before payment to confirm:
    • Selected plan (Monthly, Yearly, or Hybrid)
    • Number of seats and cost per seat
    • Total subscription price
    • Billing details (name, address, email)
  • Start with a small number of seats and adjust as your team grows.
  • Ensure billing details are accurate to avoid payment delays.
  • Seats are non-refundable once activated, so plan carefully.
