Creating and Managing Groups
Learn how to set up and manage groups in the Filio Web App to simplify project access and team management.
What is a Group?
A Group in the Filio Web App lets you grant the same permissions to multiple users at once. Groups belong to a specific Office and can be added to projects or Default Project Templates for automatic access.

Step 1: Access the Groups Section
Log in to your Filio Web App account and select Groups from the sidebar. Use the search bar or Office filter to narrow down the list.

Step 3: Choose Office and Name the Group
Select the Office for the group and enter a clear Group Name (e.g., “Austin – Painters”). Click Next.
Step 4: Add Members
Search and select users from your directory. Each user’s subscription status determines eligibility:
– Subscribed: Eligible for Mobile Data Collector access.
– Not Subscribed: Can join the group but cannot use Mobile Data Collector.
Step 5: Set Access Levels
Assign permissions for group members:
– Data Collector Mobile App Access: Allows capturing and uploading media (requires subscription and consumes a seat).
– Full Access (all permissions) or granular options:
– Project View (recommended baseline)
– Edit Media
– Move Media
– Import Media
– Export Media
– Reports
– Delete Media
– SettingsClick Save to create the group.
Use Groups in Projects
During project creation or via project settings, add the group in Users Access to grant permissions to all members in one step. For Default Project Templates, add the group to apply it automatically to new projects.
Manage Groups
In the Groups section, open a group’s See More panel to:
– Add or remove members
– Change permissions
– Rename the group
– Move the group to a different Office Use the search bar or Office filter to find groups quickly.
Note: You can edit access for each project by clicking See More.
Tips and Warnings
- Use descriptive names (e.g., “West HQ – Supervisors”) for easy identification.
- Add groups to Default Project Templates to save time on repetitive setups.
- Start with Project View and add permissions as needed.
- Avoid enabling Delete Media or Settings unless necessary to prevent errors.
- Ensure enough subscription seats for users needing Mobile Data Collector access.
